Reconciling patient transactions is an essential step in Healthcare revenue cycle management (RCM). This process ensures that patient billing records align with payments received from insurance companies or other payers, helping to track any discrepancies.
This guide outlines the steps for generating detailed reports of patient payment transactions, applying filters like patient number, office, and clinician, and printing or downloading the report for further analysis.
Follow the below steps:
Step 1: Login to the application:
Open the healthcare application and log in using your credentials.
Step 2: Navigate to the reconcile patient transactions Section:
From the main menu, go to the 'Reconcile - Reconciling Patient Transactions' option.
Step 3: Select filters:
- Enter the first patient# and last patient# to filter for specific patients.
- (Optional) Select the office from the 'List only office' dropdown.
- (Optional) Choose the clinician from the 'List only clinician' option.
- (Optional) Filter by account type if needed.
- (Optional) Sort the data by transaction ID, patient number, or clinician for organized results.
Step 4: Preview results:
After setting your filters, click the preview results button to view the patient transaction details. If no filters are applied, the system will show all transaction records by default. The generated report will include fields such as:
- Office Name
- Transaction Date
- Patient Number
- Amount
- Code (for payments, charges, or adjustments)
- Description
- Payment Method (MTHD)
- Start/End Date
- Charges, Paid Amount, Adjustments, and Visit Info
From here, you can choose to print, download, or email the generated report for your records.
Step 5: Print, download, or email the report:
To save or share the report, click on the print report button.
Step 6: Clear filters and regenerate results:
If the current filters do not produce the desired results, click the clear button to reset the fields. You can then input new filter criteria and regenerate the report by repeating the previous steps.
