How to create a new patient record by renumbering and copying all historical data (including SOAP notes and documents)?

This feature allows you to renumber or copy a patient's information:

  • Copy Patient Info creates a duplicate of the existing patient data, including all details and documents, under a new patient number, while keeping the original record intact.

This ensures a seamless transition of data, maintaining continuity while either replacing or duplicating patient information as needed.

Steps to Follow

Step 1: Log In to the Application
Sign in using your valid user credentials.

Step 2: Navigate to Specific Activities
From the dashboard or landing page, go to the Specific Activities section.

Step 3: Access 'Copy Patient Info'
Click on Copy Patient Info to open the data copying screen.

Step 4: Enter Patient Details

  • Current Patient Number – Enter the existing patient number.

  • New Patient Number – Input the new patient number where the information should be copied.

  • Copy Patient Documents – (Optional) Tick this checkbox if you want to include attached documents.

  • Click Save to proceed, or Clear to reset the form.



Renumbering removes the old record and creates a new one with a new patient number, transferring all associated documents and details to the new record, effectively replacing the old entry.

Steps to Follow

Step 1: Navigate to 'Renumber Patient#' at specific activities section
Click on the Renumber Patient# option to open the renumbering screen.

Step 2: Enter the Current Patient Number
In the Current Patient# field, type the existing patient number. The system will display the associated patient details.

Step 3: Enter the New Patient Number

  • In the New Patient# field, type a new number manually, or

  • Click on the download icon to auto-generate a new patient number.

Step 4: Save the Changes
Click the Save button. This updates the patient number across all related data, including SOAP notes and documents. The previous record will be replaced and is no longer listed separately.

Step 5: View the Updated Record
The newly renumbered record will appear in the Patient List page as the active patient file.

Step 6: Optional – Clear Form
If you want to start over, click Clear to remove the current entries before saving.
