Apollo’s Patient Self-Scheduling feature allows patients to independently book appointments through a secure link sent to their email. This feature improves scheduling efficiency, reduces administrative workload, and enhances patient satisfaction by offering 24/7 access to real-time availability.

Steps to Enable and Use Patient Self-Scheduling
Step 1: Log in to the application
Use your authorized user credentials to access the Apollo system.
Step 2: Navigate to the Patient section
From the dashboard or main menu, go to the "Patient" section.
Step 3: Open the Manage Patient page
Click on "Manage Patient" to view the complete list of registered patients.
Step 4: Search for the patient
Use the search bar to locate the patient by name, email, or patient ID.
Ensure that the patient’s email address is recorded in the system.
Step 5: Access the patient’s profile
Click on the patient’s name to open their full details, including contact and appointment information.
Step 6: Fill in the self-scheduling invitation form
Complete the fields in the invite form:
- Office: Automatically selected (default).
- Clinician: Choose a provider from the dropdown.
- Allow Patient to Book: Select how many appointments per week (1–5).
- Start Date: The beginning date for booking access.
- End Date: The last date they can use the link.
- Share Appointment Link: Sends the booking link directly to the patient’s email.
- Copy Link: Allows manual sharing by copying the link to your clipboard.
Step 7: Send the self-scheduling link
Click “Share Appointment Link” to email the booking link to the patient.
Step 8: Patient opens the email link
The patient receives an email and clicks the "Click Here" button to access the booking portal.
Step 9: OTP verification
The patient must verify their identity using a One-Time Password sent to their email or phone.
Step 10: Patient views and selects available slots
After OTP verification, the patient can browse the calendar and choose an available appointment time.
Step 11: Patient schedules the appointment
The patient clicks “Schedule Appointment” to confirm their selection.
The confirmed booking is now visible in the calendar.
Step 12: (Optional) Add appointment manually from the calendar
To manually book:
- Double-click on any calendar slot.
- Fill in the fields: Patient Name, From/To (Date & Time), Repeat settings, Clinician, and optional Notes.
- Click Save to confirm.
Step 13: Save and verify appointment in calendar
Once saved, the appointment appears in both the patient’s profile and the system calendar.
